Moderation of Processes

Most companies use a process oriented approach to standardize repeatedly used workflows.

Due to constant changes in the environments of the companies, in portfolios, in staff, changes of internal processes are mandatory.

There are 2 reasons to touch existing process and to modify them:

  1. The previously mentioned continuous changes have caused the existing process descriptions no longer fit with the day by day living.
  2. There is a trigger for a change:  The performance needs to jump to a new level, the landscape of tools shall be revised, Best Practices from other companies or departments shall be implemented as a new way.
In a company, a change process is starting with a number of more or less big construction areas in the process landscape.

Even for a small company, the management system has to cover multiple topics and certification requirements.
By the number of employees, by the number of departments there is a rising number of internal interfaces.
Why do we need a process description? Because of these interfaces. Interfaces need a definition, a description who shall when how with whom interact and collaborate.

Process descriptions and management systems in many cases are organized by quality management and/or by a QM representative.
Typically, this works. But it is not sufficient to handle the changes mentioned above.

Manangement system must be authorized by the top management. There is no other way.  It helps a lot if the top management clearly tells what it wants to achieve. What are the company targets? Which are the expected developments within the companies for the next years? Which are the essentials of company culture?

After such a definition an expert team can develop the details. This team can update the network description withing the process landscape.

Tools have been mentioned. The digitalization is on vogue. But what is the consequence for the company?

Tools shall support the internal procedures and processes. Therefore, those processes must be basically clear. As a next step a check and select of tools can start which tool from which supplier is appropriate for process support.
If the targets are not clear then no software will be able to help.
